Managing Sessions

Once you have created a session, you can manage its images, client feedback, and sharing options.

Steps to Manage Your Sessions

  1. Access Sessions

    • In your WordPress dashboard, navigate to the PhotoBerry Studio menu.
    • Click on Sessions to view all your sessions, which are displayed in a grid format.
  2. Search and Filter Sessions

    • Use the search bar to quickly find sessions by name.
    • Apply filters to refine your session grid by:
      • Session Status: Filter by statuses such as draft, confirmed, canceled, etc.
      • Session Type: Filter sessions by type (e.g., event, portrait, etc.).
      • Session Date: Filter sessions by date.
      • Client: Filter sessions by client.
  3. Edit a Session

    • To edit a session, hover over the session and click on the three dots (...), then select Edit. This opens the session editor where you can adjust settings, layout, and images.
    • When editing a session, you can set the following information:
      • Title Avoid using sensitive information (e.g., full names, private details) in session or gallery titles, as they generate public URL slugs. If a title changes, the slug may not update automatically — review and edit it in the settings if needed.
      • Client
      • Session Date
      • Session Type (options are customizable, see "Settings" -> "Sessions")
      • Notes
      • Start Time
      • Duration
      • Location
  4. Session Statuses (Deprecated)

    • Session statuses are no longer used for tracking session progress. Instead, workflow stages are now the standard for managing sessions. Learn more about Session Workflow Stages.
  5. Photos Tab Managing Images in Sessions

    Set a Session Cover Image

    • By default, the first uploaded image is set as the session cover image. To change the cover image:
      • Go to the Photos tab in the session editor.
      • Hover over the image you want to set as the cover.
      • Click the gear icon (), and a sidebar will open.
      • In the sidebar, select Set as Cover Image.
  6. Proofing Tab

    • Enable Proofing: Allow clients to select multiple images and send their selections directly to the photographer for review. For more details, see Client Proofing.
  7. Sharing Tab Sharing Options

    • Control who can access the session using various sharing methods:
      • Public Sharing
      • Private with URL Key
      • Private with Password
      • Require Client Login

  8. Session Settings

    • Adjust Session Layouts: You can choose different layouts for how images are displayed in a session. For more details, see Gallery Layouts.
    • Default Sort Order: Set the default sort order of the session gallery's photos. For more details, see Sorting Images.
    • Proofing Message: Add a custom welcome message that appears at the top of the session page when proofing is enabled.
    • Final Photos Message: A welcome message to show on the final photos screen.
    • Final Photos Page Mode: Choose how the final photos are displayed to clients:
      • All photos on the same page: Displays both proofing and final photos together.
      • All photos on separate pages: Provides an option to switch between proofing and final photos with a button.
      • Final photos only: Displays only the final selected images.
    • Watermarking Options: Configure watermarking settings. For more details, see Watermarking Options.
    • Enable Downloads: Toggle this option to allow clients to download selected images or the entire session. If watermarks are enabled, downloaded images will be watermarked and have a limited resolution.
    • Enable Favorites: Allow clients to mark images as favorites. For more details, see Favorites.
    • Enable Commenting on Images: Allow clients to comment on individual images. For more details, see Commenting on Images.
    • Storage Options: Select where images uploaded to this session should be stored. This setting only affects future uploads. For more details, see Cloud Storage.
    • Photo URLs: Choose how image URLs are served. For more details, see Photo URLs.
  9. Save Your Changes

    • After making adjustments to the session, click Save to apply the changes.
